Otter.ai Pricing Explained: Is There a Better Alternative?

Otter Basic is useful when its free limits fit. Once you would pay for Pro but do not need automatic attendance, native apps, or a permanent transcript archive, SleekMeeting is the practical alternative to test first for selected live-assistance or note-taking sessions. Otter remains stronger for frequent capture and collaboration.

Otter's plans change several limits at once: monthly minutes, meeting length, imports, AI usage, and administration.

Otter pricing at a glance

  • Basic: free, with 300 transcription minutes per month and 30 minutes per conversation.
  • Pro: $16.99 per user month-to-month or $8.33 per user/month billed annually.
  • Business: $30 per user month-to-month or $19.99 per user/month billed annually.
  • Enterprise: custom sales pricing, with expanded security, integrations, administration, and Live Assist.
  • The annual rates are substantially lower but represent a full-year commitment, not a monthly cancellation option.

How much does Otter.ai cost in 2026?

SleekMeeting publishes this comparison and is one of the products discussed. Product and pricing facts were checked against official vendor sources on October 19, 2026. Prices are shown in USD before tax unless stated otherwise.

Otter ranges from a free Basic plan to custom-priced Enterprise contracts. For an individual, the real decision is usually free Basic versus Pro at $16.99 month-to-month or $8.33 per month on an annual term. If Basic is too limited but you do not need automatic attendance, native apps, or a permanent transcript archive, test SleekMeeting before committing to Pro. Teams that need longer meetings, concurrent Notetakers, or stronger administration should still consider Business.

SleekMeeting is the practical alternative when selected meetings need prompted live help or structured notes through a no-install, bot-free browser workflow. Otter is often still the better value when its free limits work or when you want its mix of Notetaker automation, native apps, search, and collaboration.

What Basic includes—and where it stops

Basic is a continuing free plan, not a short trial. You can record and transcribe up to 300 minutes each month. However, Otter's help center caps each conversation or import at 30 accessible minutes. If a conversation runs longer, recording may continue, but only the first 30 minutes of transcript are available until you upgrade.

The three import allowance is lifetime, not monthly. Basic also shows the 25 most recent conversations; older conversations are archived rather than deleted. For short interviews, lectures, or occasional check-ins, these limits can still be enough—and no paid alternative can beat a usable $0 plan on price.

What Pro changes

Pro raises in-app recording to 1,200 minutes per month, increases each meeting to 90 minutes, and provides ten monthly file imports. It adds unlimited storage, advanced search and export, shared vocabulary, taggable speakers, advanced templates, and selected workflow integrations. The pricing table lists 50 Otter AI Chat queries per user, compared with 20 on Basic.

Pro is the natural individual plan if most calls fit inside 90 minutes. It is less suitable for workshops and long research sessions that routinely cross that boundary, or for people importing a large recording backlog.

What Business changes

Business removes the monthly in-app recording ceiling, allows meetings up to four hours, and lets a user send Notetaker to three concurrent meetings. It adds custom AI workflows and stronger administrative reporting. The pricing page describes unlimited audio/video imports, while an Otter Basic-limits help article references up to 6,000 import minutes per month for Business; confirm current import enforcement if bulk files are a purchasing reason.

The plan is designed for coordinated teams, not merely individuals who need slightly more transcription. If concurrency, logs, usage analytics, and central control do not matter, paying the Business premium may be unnecessary.

What Enterprise adds

Enterprise moves pricing behind a sales conversation and adds organization-level identity, provisioning, security, API, and custom-integration features. Otter also lists its Live Assist coaching agent as an Enterprise feature. It can surface private guidance during calls and be configured through Agent Builder using playbooks and other company content.

That makes Enterprise materially different from buying extra transcript minutes. Evaluate deployment, retention, integration, support, and compliance requirements during procurement rather than extrapolating from Business pricing.

Monthly billing versus annual billing

Plan Pay month to month for 12 months Published annual total Difference
Pro $203.88 Approximately $99.96 Approximately $103.92 lower on the annual term
Business $360 Approximately $239.88 Approximately $120.12 lower on the annual term

The annual totals are the displayed monthly equivalents multiplied by twelve; final checkout rounding may differ. The savings are meaningful, but so is the commitment. If your meeting volume or required workflow is uncertain, a month of Pro can be a cheaper experiment than an annual plan you stop using.

The limits that should drive your Otter plan

Meeting length

Basic's 30-minute cap is the first pressure point. Pro's 90-minute cap covers many customer and internal calls. Business's four-hour cap is relevant for workshops, training, and long research sessions. Use the longest recurring meeting, not the average, when choosing.

Monthly transcription

Basic's 300 minutes equal five hours; Pro's 1,200 minutes equal 20 hours of in-app recording. Business describes in-app recording as unlimited. Deleted conversations still count toward Basic's monthly limit, so deletion is not a way to recover quota.

Imports

Basic offers only three lifetime imports. Pro offers ten per month. Business is the bulk-import tier, but the official pages describe its allowance in different ways; teams migrating an archive should get the current numeric policy in writing.

Capture route

Otter Notetaker appears as a guest participant in Zoom, Google Meet, and Teams and may need host admission or recording permission. The Mac and Windows desktop app can capture device audio without a bot. Web and mobile recording and file imports offer other routes, each with practical audio constraints.

AI and integrations

Basic, Pro, and Business differ in AI Chat query allowances, templates, workflows, integrations, and administrative features. Count the output you need—search, export, CRM sync, custom workflows, or live coaching—instead of treating all “AI” access as identical.

When is another meeting assistant a better value?

Choose Fathom when free recording volume matters

Fathom's individual Free plan advertises unlimited recordings, transcription, storage, summaries, clips, and search. It may be better than Otter Basic if 30-minute conversations are the deal-breaker and its bot or Mac bot-free beta fits your setup.

Choose Granola when unobtrusive notes matter

Granola Basic uses bot-free device audio and includes notes with 30 days of history. Business is $14 per user/month with full history and integrations. It can be a better fit than Otter when you prefer native bot-free notes and do not need a visible attendee or Otter's transcript workspace.

Choose SleekMeeting for selected live-help or note sessions

SleekMeeting charges $5 per SleekAssist hour or $4 per SleekNote hour, with a $10 minimum and volume discounts. Assist and Note are separate modes. Assist provides live contextual answers; Note produces notes, decisions, action items, summary, and an editable follow-up draft. The browser workflow requires manual tab or screen-audio sharing and there are no native apps.

It can cost less than monthly Otter Pro for a small number of hours, but balances expire after the rolling 30-day period and session time is reserved in up-to-30-minute blocks. At higher volume, Otter's free or annual subscription can be cheaper. See the scenario math in our cheaper Otter alternative guide and the broader Otter alternatives comparison.

Frequently asked questions

How many minutes are free on Otter.ai?

Otter Basic includes 300 transcription minutes per month. Each conversation or import is limited to 30 accessible minutes, and the plan includes three lifetime file imports.

How much is Otter Pro?

Otter's US pricing page listed Pro at $16.99 per user on monthly billing or $8.33 per user/month billed annually when checked on October 19, 2026. Checkout promotions and localized prices can differ.

Is Otter Business unlimited?

The pricing page describes unlimited meetings and in-app recordings, with individual meetings capped at four hours. Other limits still exist, including AI usage, concurrency, and potentially aggregate import minutes.

Yes. Otter's Mac and Windows desktop app supports botless recording by capturing device audio. Otter Notetaker remains a separate visible-participant route for Zoom, Google Meet, and Teams.
